The Document Warehouse opens its doors to the public

The event aims to provide the public and stakeholders with a closer look at the company’s operations, innovative services and role in shaping the future of records management in Namibia. Attendees will be treated to an interactive walk-through of the facility, where they will learn about the systems that keep the organisation running, from secure storage to digital transformation tools.

Established in 2006, The Document Warehouse has grown into a leader in the archiving and records management industry. According to sales representative Amy Plaatjie, the open day will offer a unique behind-the-scenes experience, with staff on hand to explain the processes involved in both physical and digital document management. Guests will also be introduced to M-Files, an intelligent information management system that enables faster, smarter and more secure record handling. Plaatjie described the event as an opportunity to engage with experts, ask questions, explore new ideas, and network with peers in a relaxed and informative setting.

The event is tailored for a wide range of participants, including business leaders, records management professionals, public sector decision-makers and individuals interested in local tech-driven solutions. Whether exploring options for better storage, efficient scanning, or improved file tracking, The Document Warehouse aims to demonstrate what is possible with the right tools and systems in place.

Among the highlights of the day will be demonstrations of some of the company’s latest initiatives. These include the Brainery Academy - a training programme launched to support young and unemployed Namibians - and the Tech Hub, which provides resources and infrastructure for start-up companies. In addition, the company will showcase its use of artificial intelligence in document processing, bulk scanning, and digital solutions, all within a uniquely human-centred work environment.



The future of paper

Discussions during the event will also touch on relevant topics such as the future of paper in a digital world and creative approaches to making work environments more enjoyable. Future plans include expanding into historical document archiving, developing record-keeping solutions for SMEs, and forming deeper collaborations with start-ups and local entrepreneurs.

Providing more insight into operations, sales and marketing manager Sunny Ekandjo explained that the company manages over 500 000 boxes and approximately one billion pages of paper, equivalent to 225 000 linear metres of physical documents. The company uses a sophisticated barcode system to ensure efficient document retrieval, with tracking applied from the box down to each individual file. Ekandjo highlighted that when a client requests a document, the real-time tracking system allows staff to locate and deliver the file within minutes.

He also emphasised the company’s commitment to sustainability. The Document Warehouse has significantly reduced its environmental footprint by adopting solar power, resulting in an electricity bill as low as N$1.76 in recent months. The organisation also supports recycling initiatives and integrates eco-conscious practices into its operations. The open day forms part of a broader outreach initiative by The Document Warehouse to engage more actively with the community and industry partners.
